VOLUNTEER POSITIONS

PRESIDENT –
The President shall preside at the meetings of the Club and the Board of Directors. He shall be the administrative officer of the club, and he shall have the general management and direction of the activities of the Club. He shall appoint, subject to the confirmation by the Directors, all standing and operating committees, designating the Chairman thereof. He shall be ex-officio, a member of all committees, but shall not be entitled to vote herein. -SASTC Bylaws

RESPONSIBILITIES
• Ensure board members are aware of monthly meetings and establish the agenda
• Keep the attitude positive at the meetings and inviting to all
• Understand the importance of the teams at the club – swim, tennis and dive and that everyone’s opinion is important at board meetings
• Ensure the fiscal integrity of the club; be knowledgeable of the budget, expenditures, the direction of improvement and maintenance of the club
• Be a good steward of the club and positively impact the neighborhood – follow bylaws and agreement with CCA

SPECIAL NOTES FROM RICK ALBERS (Former SASTC President): Volunteering as the President of SASTC teaches my kids about community service. This position is not about me but about the community and how I may impact the club in a positive manner. I have made so many lifelong friends and found a purpose in this position. It is important that my kids want to come back to SASTC and have pride in being a member. This job is hard work sometimes but gratifying knowing my kids can come to the best, safest, most fun place possible in Severna Park during the summer.

VICE PRESIDENT –
The Vice President (VP) is the principal backup to the Club’s President. In the absence of the President, the VP shall preside during the meetings of the Club and the Board of Directors to complete the President’s agenda and business of the Club. The VP should have prior SASTC Executive Board experience to enhance the ability to stand in as needed for the President. The VP shall support the Club and its bylaws, supporting, heading or performing specific tasks as determined necessary and appropriate by the President. The VP shall be an ex-officio, member of all committees and shall be afforded a single vote on all Club business, just as each committee has a single vote regarding Club matters. -SASTC Bylaws

RESPONSIBILITIES
• Support the President and Board of Directors to resolve SASTC issues/concerns consistent with the President’s monthly agenda

SPECIAL NOTES FROM CHARLES (BUD) JEWETT (Current SASTC Vice President): This position is a chance to give back to the community, ensuring that we have a club and facility that continues to be as enjoyable as it was when I first joined SASTC over thirty years ago. Being retired affords me the luxury of spending time at the pool and observing how our members enjoy the facilities and events. It also enables me to work with the Board to further enhance SASTC’s appeal and functionality.

As an “empty-nester”, my children are no longer in the area, which has made me realize that I had lost touch with the community. Serving on the Board has afforded me the opportunity to meet and socialize with other members of the community while impacting where we live in a positive way. SASTC is a great community asset that we are privileged to have so close to home and we owe it to ourselves to keep it that way.

TREASURER –
The Treasurer shall attend to keeping the accounts of the Club, collecting its revenues, and paying its bills as approved by the Board of Directors of other agency authorized by the Board to incur them. He/she shall deposit funds of the Club received by him/her, in the name of the Club, in such depository as may be authorized by the Board, he/she shall perform such other duties pertaining to his/her office as may be asked of him/her by the Board. He/she shall be bonded. -SASTC Bylaws

RESPONSIBILITIES
• Pay all bills on time
• Manage and reconcile bank accounts
• Prepare annual budget with input from Board
• Attend monthly Board meetings
• Conduct all responsibilities with honesty and integrity

SPECIAL NOTES FROM SARAH PARKISON (Current SASTC Treasurer):
I love being part of an organization that provides a way for our community (adults and youth!) to come together for fun and fellowship. I enjoy working with others on the Board who have also committed their time and talents to sustain this strong community asset. I think it is important for my children to know that it takes commitment to foster strong community.

SECRETARY –
The Secretary shall send out the notices of the meetings of SASTC and the Board of Directors, keep the minutes and attend to the correspondence pertaining to his office and be responsible for keeping the permanent records and documents for the SASTC. -SASTC Bylaws

RESPONSIBILITIES
• Scribe meeting minutes
• Distribute minutes to the board members to be approved at the next meeting
• Maintain record of the meeting minutes
• Call special meetings if necessary
• Be present for 12 meetings each year

TENNIS CHAIR –
RESPONSIBILITIES
• Meet with PVJTL President and other coaches in the Spring to determine summer competition schedule
• Secure coaches for the season
• Order new equipment for the season (tennis balls, training balls, peewee nets, etc.
• Schedule a variety of programs/clinics for membership; maintain weekly emails for Tuesday Night Drop in Doubles-runs 6 to 7 months out of the year
• Court maintenance (wind screens, nets, court surface, lights, gazebo) and to ensure that courts are tidy and trash is removed

MEMBERSHIP CHAIR–
RESPONSIBILITIES
• Membership list – maintain and monitor to ensure payment, correct entries, maintain membership balance to budget, call waitlist & non-renewed members, and ensure that the ratio between Chartwell and non-Chartwell members remains balanced
• Membership entry system – work with Youth Leagues on the website and ways to improve the membership entry system
• Respond to membership inquiries
• Work with swim and dive teams to coordinate website activities
• Train gate guards

SPECIAL NOTES FROM MARTIN TONG (Current SASTC Membership Chair): I first joined the board as an under-study learning under Pam Garland, who at the time was a co-chair on Membership. It was an ideal transition because I was new to the board and wasn’t quite ready to take on a full-time board position. It gave me the opportunity to shadow a board member while learning the roles & responsibilities of the Membership committee as well as the inter-workings of the board. As Membership co- chair, I enjoy fielding questions from potential members as well as interacting with both current and new members! My family spends a majority of our summer at St. Andrews. I felt it was important to give back to a place that has given my family so many great memories and friendships. I’ve had the pleasure of working with a wonderful group of individuals all who share a common love for St. Andrews, and want to make it the best and safest place for our families.

GROUNDS CHAIR –
RESPONSIBILITIES
• The grassy areas inside the fence and fields surrounding the pool/clubhouse area. This includes mowing, edging, trimming plants/trees, mulching, weeding, spring & fall cleanups, weekly clearing of tennis courts as needed, and play areas, the tot lot and big kids areas – mulch & paint as needed
• General landscaping which includes main signage areas, pool pots, and at the front of clubhouse
• Two parking lots and coordination with towing company, maintenance of the septic – annual pumping, and coordination and scheduling of the dumpster
• Fence maintenance and repair as required
• Snow removal

SPECIAL NOTES FROM BOB DANAHY (Former SASTC Grounds Chair): A multi-year Landscaping contract will be negotiated for the routine grounds work before the end of this fiscal year (Nov-Oct). We have a dumpster company and towing company currently servicing SASTC. We also have a septic company that was been used successfully for several years, as well as a fence company that has been very responsive and reasonably priced.

Future efforts include sealing the parking lots, looking into the drainage of the tennis court parking area, tennis court drainage near the small covered area, and possible tree maintenance. Another key issue/concern is ensuring events (specifically” CCA picnics and Benfield Elementary school Benny’s BBQ) are coordinated so the field is mowed.

This is a fairly steady but light lift, once contracts/contacts are in place…more importantly it provides a great opportunity to support the SASTC and be part of decisions to improve the association for all members. This is also a good introduction to other board responsibilities/opportunities.

WEBMASTER AND COMMUNICATIONS DIRECTOR
RESPONSIBILITIES
• Maintain club’s website (content and design)
• Website admin (manage domain name and hosting)
• Board technical advisor
• Email newsletter/member communications
• Work with membership committee when needed

SPECIAL NOTES FROM MATT MORAN (Current SASTC Webmaster and Communications Director): I first joined the board at the end of the 2007 season because I wanted to get involved more with the club. My family really enjoys the pool since we became members in 2006 and I, admittedly, am a pool rat from way back when. I saw an opportunity to hopefully make a difference while helping to make sure the club was a fun and safe place for my family. I enjoy helping out and making a contribution, as I am not one to simply lounge by the pool. As a result, I’ve met so many great people that I am proud to call my friends and I feel I’ve helped make St. Andrew’s a great place to hang out and it continues to get better every year.

POOL CHAIR –
RESPONSIBILITIES
• Oversee day-to-day pool operations; open/close, staffing (through USA), cleanliness, equipment operation, facilities, furniture and generally keep an eye on the pool buildings (fire marshal inspection & order general maintenance)
• Maintain relationship with pool company; who handles staffing, pool & equipment maintenance
• Maintain relationships with and direct pool lifeguards
• Ensure pool rules are followed
• Reservations of pavilions

SOCIAL CHAIR –
RESPONSIBILITIES
• Schedule and coordinate fun and relevant events for club members to enjoy
• Consider all member audiences and create events for each target audience, i.e. movie nights for children, happy hours for adults
• Work with local vendors to create a strong sense of community, i.e. hire local musicians and schedule local food trucks
• Coordinate event communications with Membership and Communications Committees
• Create an atmosphere of and encourage volunteerism since the Club operates through volunteers
• Work with Pool chair and lifeguards during event planning, set-up and take-down, to ensure the pool has ample pool and event coverage.
• Develop budget with the Board and Treasurer
• Solicit feedback from Club members to ensure members’ event preferences are considered

SPECIAL NOTES FROM CARRIE HANKEY (Former SASTC Social Chair): I’m new to the Chartwell community and to SASTC. My husband and I joined this year since our son was just old enough to enjoy the baby pool. I was interested in attending an event that was listed on the SASTC website and through an inquiry about that event, was enticed to assume the Social Chair position. In a short two months I’ve met some hard-working, dedicated and wonderful people that keep SASTC thriving. Those volunteers, my fellow Board members, have built a strong foundation for future volunteers to build upon. I want to be a part of SASTC’s future to keep it strong, beautiful and a safe haven for my son to enjoy for years to come.

SPECIAL NOTES FROM PAM GARLAND (Former SASTC Social Chair): I have been a member of St. Andrews Swim and Tennis Club since 1998 and a board member for 8 years on Membership as chair and co-chair. I am currently a co-chair of Social I am married to Jim Garland and have 5 children ages 11-24 years old, all who have enjoyed St. Andrews social aspects as well as its teams and clinics. I am from western NY originally, but moved to Baltimore after I graduated from the University of Pittsburgh as a Physical Therapist to work at Johns Hopkins Hospital. We have lived in Anne Arundel County for 27 years and Chartwell the past 19 years. I work in Annapolis as a PT and enjoy tennis, my children’s sports/interests, friends, family and travel. We love the community and the club and are happy to be able to help continue to promote and support St. Andrews.

SWIM TEAM –
RESPONSIBILITIES
• Attend CMSL meeting in Spring to set up the meet schedule for the summer, review rules/regulations, obtain information on insurance for dive members (if not on swim team need to get insurance), review officials schedule, and get overview of CMDL
• Review budget for the year
• Hire swim coaches – start Dec/Jan when pool is closed
• Organize volunteers for the summer to run the meets – timers, stroke & turn judges, announcer, runners, gatherers, clerk of course, scoring table & snack stand; oversee set up and break down of home meets
• Ensure website & Youth Leagues information is accurate and up to date including fees, schedule, shirt size, and general information to members

DIVE TEAM –
RESPONSIBILITIES
• Attend CMDL meeting in Spring to set up the meet schedule for the summer, review rules/regulations, obtain information on insurance for dive members (if not on swim team need to get insurance), and get overview of CMDL
• Review budget for the year
• Hire dive coaches – start Dec/Jan when pool is closed
• Organize volunteers for the summer to run the meets – judges, scoring table & official; get dive judges certified to score divers; oversee set up and break down of home meets
• Ensure website & Youth Leagues information is accurate and up to date including fees, schedule, shirt size, and general information to members

CLUBHOUSE –
RESPONSIBILITIES
• Maintain rental list for the clubhouse; now on Google Drive
• Provide rental contracts to the member (SASTC or CCA) renting the facility and ensure signed and paid for in advance
• Ensure the clubhouse is left clean after rental to determine if deposit will be help; maid service management
• General cleanliness and maintenance (kitchen appliances, bathroom fixtures, awning/deck, door locks, lighting, A/C, repairs & maintenance, etc.)
• Attend 12 monthly meetings

PLANNING –
RESPONSIBILITIES
• Review needs of the club and develop planning list
• Review budget and funds to determine which items can be afforded
• Develop and oversee plans to act on items to be afforded; either volunteers or hire contractor
• Review new issues through the year to determine if there is an immediate need or can need be built into following year budget
• Attend 12 monthly meetings
